Important Tips for Requesting Space

  • Building Hours: The Stern buildings (KMC, Shimkin, and Tisch) are open from 7:30am - 10:00pm, Monday - Saturday. On Sundays, the Stern buildings are open from 7:30am - 7:00pm.
  • COVID-19 Information: Learn more about NYU's updated guidelines.
  • Hosting external guests? All visitors without an NYU NetID or an NYUCard must be sponsored by a current NYU student, faculty member, or employee. Refer to NYU’s guidelines for sponsoring visitors, vendors, and affiliates.
  • Booking a Classroom?  Keep in mind that most classroom spaces cannot be confirmed until a minimum of two weeks into the semester to allow for classroom shifts and assignments. Requests for Paulson Auditorium and KMC 2-60 on Fridays, Saturdays, and Sundays will be considered earlier. As always, please continue to reach out to Records & Registration for questions related to classroom bookings and reach out to Special Events for non-classroom requests.
  • Co-sponsored Events: If your department or center is considering a co-sponsored event (e.g., hosted by a Stern unit + an external or NYU organization), please be sure to connect with your Event Consultant for additional guidance on the approval process and important guidelines prior to requesting space via EMS.
  • Use Actual Event Times: When requesting special event space (non-classrooms), please submit your request using the actual event times. EMS automatically builds in setup and breakdown time for special event spaces. If your event requires a more extensive setup/breakdown, please reach out to your Event Consultant for guidance.
  • Be Mindful of Room Capacity: Estimating your guest count is a vital step in the room reservation process, so please be as accurate as you can. Given our tight space constraints, the Special Events and R&R teams may need to shift your room to something more suitable to help maximize space use for additional groups. Large spaces are especially in high demand, so if a smaller room would suffice, please refrain from requesting larger spaces.
  • Be Mindful of Subsequent Events: Remember, there may be an event immediately following yours, so please be mindful of your room booking's start and end times.
  • Need Multiple Rooms for One Event? If your event requires both classroom space and event space, please submit all of your booking requests under one reservation in EMS. In addition, please share a copy of your “best case scenario” schedule, including dates, times, activities, room preferences, and estimated attendance, for reference with the Special Events Team at sevents@stern.nyu.edu.
  • No Longer Need a Room? If you request space and then determine that you no longer need it, please cancel as soon as possible so the room can be made available to other groups.
  • Important Catering & Room Setup Deadline: Please note that the deadline to request Catering and/or Room Setup services is 10 days prior to the event date. 
  • Ordering Drop-Off Food? For drop-off food delivery orders under $500, you can skip the catering form in EMS. Instead, please use your department’s Seamless Corporate Account. Request an account or learn more about NYU’s Seamless options on NYU’s Procurement site.
  • Don’t forget about cleanup! If you plan to have food, please request a trash bin as part of your room set-up in EMS.
  • No Space Available? We do our very best to accommodate all Stern groups, but there is no guarantee that space will be available for the date(s) that you request. If space is not available at Stern on your preferred event date, please contact your Event Consultant  for guidance on NYU (non-Stern) and other off-site options.
  • NYU (non-Stern) Colleagues Looking for Space? Stern users enjoy priority use of Stern space at no cost. Please point NYU colleagues to the Special Events office for details and protocols for renting Stern space. NYU students should contact their respective Office of Student Engagement for guidance.
